General conditions and privacy statement Gîtes & Terrois en Occitanie
When booking by email or our website you declare that you have read, understood, and accepted the Terms and Conditions.
Reservation
The reservation can be made via form on the website or an email. Once received we will issue an invoice and send it back together with confirmation email. 30% of total value of the booking needs to pay within 3 days to secure the booking. If the booking is made8 weeks or less before the start of rental period, the full amount of payment is required to secure the booking.
Payment of balance
The deposit needs to be paid within 3 days of making reservation and outstanding balance needs to be paid 8 weeks before the beginning of the stay. If the balance is not paid in required period the reservation is automatically cancelled. The entire booking fee must be settled upon arrival in order to use facilities.
Payment method
We accept bank transfer for bookings made online and cash payments for last minute bookings. Credit cards and checks are not accepted.
Cancellation
All cancellations must be made in writing by letter or email. For cancellations made 4 weeks (or more) before the Check In date the deposit amount, minus €25 administration fee, will be issued.
No refund will be issued for cancelations made in less than 4 weeks from a Check In date.
Any change of dates causing shortening of the stay are considered a cancellation and unless made eight weeks before the Check In date, the full amount is due.
There is no compensation in case of Force Majeure (anything that can’t be foreseen or is beyond the control of the landlords).
Insurance
All guests are advised to arrange comprehensive insurance against travel and other related risks including theft of personal items, photographic equipment etc. We advise all clients to take out cancellation insurance.
Rental conditions
Smoking is not allowed in the gîtes.
The cottages can be rented on weekly basis in High Season with a Check In on Saturday at 4pm and Check Out the following Saturday at 10am.
In Low Season and Mid Season, a minimum of 2 night stay is required.
Bed linen, towels, tea towels, water, electricity and access to the laundry room are included in the rental price.
The cottage must be clean and all rubbish removed before departure.
In the event of any necessary maintenance job being required, the landlords reserve the right to enter the property to complete those tasks. The maintenance of gardens are carried out with causing as little inconvenience to the guests as possible.
Pets
The pets are allowed on request. Pet fee is € 40 per week.
The normal rules of conduct apply, so please keep your dog on a leash.
All pets must be registered prior arrival.
Security deposit
The €200 Security Deposit paid in cash is required on arrival. When guests are ready to Check Out the cottage needs to be inspected for any damages, if none found the deposit is refunded. The tenant is liable for all damages caused, including that of a fellow guest in the party. If amount of deposit is insufficient, the tenant must pay additional amount to cover all costs. We cannot accept any liability for inconveniences resulting from changes in circumstances.
The tenants agree to occupy the premises with required care and respect for tranquillity of the area.
Landlord’s liability
The stay and use of all facilities of Gîtes & Terrois and Occitanie are entirely at the guests own risk. The landlords cannot accept any liability for damage, accidents or inconveniences that arise on the site. All measures are taken into consideration to provide the most comfortable and enjoyable stay for the guests.
The tenants agree to occupy the property with essential care and respect for tranquillity of the area. If the tenants do not respect the rules and cause nuisance to the surroundings, they might be denied further access to the property. The lease then will be considered legally dissolved, whereby no claim can be maid for repayment of the rent.
Complaints cannot be accepted after the tenant has returned and there has been no possibility to remedy the complaint by the landlord during the period of stay in the accommodation.
Privacy declaration:
You can rest assure that the details you share with us will only be used for administrative purposes. Under the new privacy legislation, we are obliged to inform you which data we record and how we make sure it is secured.
- When making a reservation we will ask your name, address and residence in order to confirm the booking
- The names of everyone in the party are required to register for Tables d’hôtes and other activities
All data will be deleted no later than October of the booking is for. If you choose to spend your holiday with us again in the future, unfortunately we cannot use the previous data for confirmation.
If you wish to object to any of the above in the context of “rights of data subjects” we request an email from you with a clear description of your objections to info@gites-terroirs-occitanie.nl We will then response to you by email within required by a law 30 days and not longer.
